One of the most important issues in fleet management revolves around the sustainable and long-term optimization of your own fleet. However, in our fast-paced, digital world, where new innovations and software for services and products are rapidly being launched in the market, it is often difficult to keep track of everything. We've put together five helpful tips that will equip you for future-proof fleet management.

1. Put your data management in the spotlight

The demand for efficient data management has never been so high - because, of course, the vast amounts of data records you need to manage in your fleet are constantly multiplying. Thus, manual processes and Excel are no longer sufficient for future-oriented fleet management.

Through centralized data management like with fleet software, you have the possibility to manage your data sets efficiently in the future. With a cloud-based solution, you not only have all your data in one central location, but you also avoid errors that happen due to manual data entry. Your data, which you otherwise have in various Excel spreadsheets on vehicles and drivers, insurance and existing damage, or even driver's license checks, can be linked together for efficient fleet management. This gives you a detailed overview of fleet activity, but above all of the total costs in the fleet (Total Cost of Ownership). You can identify potential cost savings or even compliance risks at an early stage and address them proactively.

2. Digital communication for more flexibility in fleet management

Communication in the fleet with drivers but also with other stakeholders such as suppliers take up a lot of time and yet is unavoidable in order to drive processes forward and stay up to date. But especially during last year's global pandemic, the communication behavior between fleet management, drivers, and stakeholders have changed significantly and digital communication tools have become even more in focus. For future-oriented fleet management, we, therefore, recommend using a software solution that makes communication as simple, fast, and flexible as possible for you. With Avrios software, you have the ability to communicate with key stakeholders directly from the tool - gone are the days of countless phone calls, emails, or even faxes

3. Rely on process automation

Although many fleet processes have already had to be adapted to the new situation due to the pandemic, many fleet managers are still working with manual processes. In one of our Avrios webinars, over half of the participants stated that they still manage their fleet with Excel spreadsheets and and paper. This approach presents fleet managers with several challenges for future-proof fleet management: on the one hand, manual processes are very prone to errors; on the other hand, these processes are also very time-consuming and do not provide a good overview of what is really happening in the fleet.

By automating your daily operational processes, you gain valuable time, are automatically reminded of important deadlines and dates, and can make important decisions through automatically generated reports, such as on cost savings in specific fleet areas. This gives you the opportunity to act in a future-oriented way and optimize your fleet for the future with the right fleet management software.

4. Mobility and CO2 reports for sustainable decision-making power

For many fleets, future-oriented fleet management naturally includes the topics of CO2 emissions and e-mobility, which are already frequently reflected in corporate strategies. However, in order to effectively implement these topics in one's own fleet, detailed reports and analyses are needed in order to make data-based decisions and take advantage of the room for maneuver. This applies, for example, when considering integrating alternative drives into the fleet. Here, the entire costs should be transparently disclosed and the right decisions made based on this

Through fleet management with Avrios, you can analyze the emissions of your fleet by means of CO2 reports. This enables you to quantify the environmental costs in addition to the monetary costs and thus determine your true fleet costs (True Cost of Ownership).

5. Mobility mix for your fleet

'In the mobility of the future, the car will increasingly play a more complementary role' (Zukunftsinstitut, 2021). Although the classic company car is still most important in many fleets, the trend for the future is towards a mobility mix - consisting of different offers for your employees. This, in turn, can also have a positive impact on your fleet's sustainability strategy. In addition to conventional company cars, you also have the option of integrating car sharing, car subscriptions, or e-cars into your own fleet.

With Avrios' fleet management, you can also determine your fleet mobility mix based on actual needs and usage profiles and manage your vehicles in your central database.
